Dear Chapter Presidents,
I hope this message finds you well as we prepare for the upcoming fall semester. As we approach a busy time, I wanted to remind you of several important items to ensure your chapter’s success and compliance:
- Calendar Review:
- Please take time to review the full FSC Calendar provided to you. This will help in planning your chapter’s fall events effectively. Pay special attention to all mandatory and required items, including who should attend and at what time. Each program or event is briefly described on pages 4-11 of the calendar.
- Event Restrictions Before September 6th:
o A reminder that NO events, including social, philanthropic, or service-related activities, are permitted before September 6th. This includes all collaborative programming outside of listed council/FSC initiatives. Therefore, any “Welcome Back” BBQs, kickbacks, meetups or gatherings between chapters or events open to unaffiliated/non-members are prohibited. Chapters failing to adhere to this requirement will face consequences, including, but not limited to, the suspension of fall events and temporary removal of recruitment/intake privileges.
- Social Event Policy Compliance:
- Please refrain from planning or hosting any unregistered social events this fall that do not align with the social event policy/standards. Non-compliance could jeopardize your chapter’s active status. Additionally, social events hosted by the undergraduate chapter with alcohol are strictly prohibited at any and all chapter facilities. Avoid getting caught up in hosting such events at the start of the school year. We will review the full policy and any/all changes during Social 101 on September 13th.
- A special acknowledgment to those chapters with active bars within their basements or elsewhere on their property: The Fraternity & Sorority Commons staff is aware of these situations, including those chapters rumored to traditionally host underground events in the first weeks back. We encourage those chapters to reconsider their approach and adopt a more positive strategy when welcoming first-year students and the broader community as members of our greater fraternity/sorority community. Chapters that choose to disregard this proactive request and are found violating these policies will be held accountable.
- Rosters:
- Be on the lookout for your membership roster update communication, which will be sent by Mel in the coming days. Please ensure that you’re taking a membership audit of who will be returning, who has decided to take a leave of absence, and who may have unfortunately chosen not to continue membership. If there is any necessary paperwork that needs to be filed to confirm such removals or resignations, please complete it now on the front end. We recommend you do this now so that once you receive the document from us, your response time can be immediate, as the deadline for this update is Friday, August 30th.
- Union Club Management System (CMS) Update:
- Each chapter must update their Union CMS profile. This is a required step and, traditionally, our community has struggled to keep it consistent. With the recent changes to the Student Activities staffing and leadership of the Union, we are requiring this step be completed for any chapter to be able to reserve space on campus and to maintain active status with FSC. All presidents have been updated on the backend, so you can log in via this link to update your chapter officers. You will not need to update your rosters in this system, as FSC will be providing it to the Student Activities team to upload on your behalf after. Your goal is simply to keep your leadership information up to date. Please update your profile by Monday, August 19th.
6. Update on Live-In Advisor Contacts (If Applicable):
o For chapters with a registered housing facility, it is required to have a Live-In Advisor (LIA). Please update your LIA’s information by reviewing the email I previously shared, which includes a link for this purpose. As a reminder, the deadline to submit these details is this Friday, August 13th.
